Find your number
Without a number, you send three texts, hear nothing back and quit. A number tells you how many people to reach this week, so one quiet day doesn't stop you.
How to do it
- Write the monthly income you want from your own clients.
- Write what one client pays you a month.
- Divide the goal by the price. That is how many clients you need.
- Guess your close rate and show-up rate. If you have no data yet, start with 1 in 3 calls closing and 3 in 4 booked calls showing up.
- Use the second calculator to see how many calls to book, then pick how many you'll book this week.
Example: Maya, an in-person trainer in a commercial gym starting her own online clients
Monthly goal: $2,000
One client pays: $200 a month
Clients needed: 10. Starting with 5 this month.
Close rate: 1 in 3 calls. Show-up rate: 3 in 4 booked calls.
So: 15 calls held, 20 calls booked this month.
This week: book 5 calls.

List everyone who already trusts you
I watched a trainer who was older than me leave to train clients from a gym he built in his backyard, then ask, 'Can I get my old job back?' because 'I don't know how to get leads.' This list is your leads, and most trainers never write it down.
How to do it
- Scroll your phone contacts top to bottom. Write every person who knows you train people.
- Add past clients, even ones who stopped years ago. Write why they stopped if you know. A move or a schedule change is not a no.
- Add old teammates, coworkers, church friends and parents from your kid's school.
- Mark each name as friend, past client or current client.
- Star the five you'd feel easiest texting today.
Example: Maya's first five rows
Liz | past client | trained 2 years ago | stopped when her baby came, schedule changed *
Jen | past client | trained last year | moved across town *
Tom | friend | old coworker | always asks about my training *
Dana | current client | 6 months with me | just hit her first pull-up *
Rosa | friend | soccer mom from my son's team | said she wants to get back in shape *

Write the messages you'll send
A vague 'I'm training people, let me know!' gets a thumbs up and nothing else. A short personal message that asks one clear question gets real answers.
How to do it
- Write who you help in one sentence, as if the reader has never heard what you do.
- Pick one clear offer: a free first week, or a 20-minute call.
- Fill in each script below in your own words. Read it out loud. If it sounds like an ad, rewrite it.
- Before you send, add one personal detail for that person.
- If they don't answer, send the follow-up once, a week later. Log every message in the tracker.
Example: Maya's messages
Who I help: 'I coach busy moms who want to lose weight at home without living at the gym.'
Offer: first week free.
To Tom: 'Hey Tom, I'm coaching people online now, mostly busy moms who want to lose weight without living at the gym. Do you know anyone who's been trying to get back in shape? I'll give them their first week free.'
To Liz: 'Hey Liz, I was just thinking about how strong you got on squats. I coach online now, so you can train at home during nap time. Want to hop on a 20-minute call and see if it fits?'
To Dana: 'You just did your first pull-up. You couldn't hang from the bar when we started. Who else in your life needs this? If they sign up, your next month is on me.'

Set up one place to book and pay
If a friend says 'my sister wants in' and you have nowhere to send her, the lead goes cold. You don't need a website. You need one place where a person can check you out, book a call and pay you.
How to do it
- Create a free Google Business Profile with your photo, your area and your who-I-help sentence.
- Make a booking link for a 20-minute call in a scheduling tool like Calendly.
- Make a payment link in Stripe or in your coaching app.
- Set up a coaching app like Trainerize or TrueCoach to deliver programs and weekly check-ins.
- Save your direct Google review link in your phone notes, and start a simple email list of past clients and leads for one useful note a week.
Example: Maya's storefront
Google profile: Maya Ruiz Coaching, north side, 'I help busy moms lose weight at home.'
Booking link: 20-minute 'Fit check call', Monday to Thursday, 7 to 9 pm.
Payment link: $200 a month, through Stripe.
App: Trainerize, with a 12-week program template loaded.
Review link saved in notes. First ask goes to Dana.
Email list: past clients and leads, one useful note every Sunday.

Pick three local partners
Physical therapists, chiropractors, dietitians, massage therapists and running stores talk to your future clients every week. Skip them and you leave your steadiest source of strangers who already trust someone who trusts you.
How to do it
- List local businesses that see your kind of client every week.
- Write the owner or manager's name if you know it.
- Pick the three whose people are closest to the clients you help.
- Fill in the pitch below. Offer their people a free intro session, and send your own clients their way when it fits.
- Put a follow-up date one week after each pitch. Bring something useful, like a one-page home workout for their patients.
Example: Maya's partner list
North Side Physical Therapy | Dr. Kim | patients finish knee rehab and stop moving | visit Tuesday | follow up next Tuesday with a one-page home workout
Stride Running Store | manager Jo | new runners get hurt in month one | visit Wednesday | follow up with a 10-minute warm-up sheet
Bloom Massage | owner Priya | clients with tight backs from desk jobs | call Thursday | follow up with a desk stretch card

Plan your call and your referral ask
Talk about sets and reps and people say they'll think about it. Talk about where they hurt and where they'll land, and they buy. Then ask for referrals at set times, or they never come.
How to do it
- Ask three questions: what do you want, why now, and what stopped you before. Write their words down.
- Give them the plan in one sentence, using their words.
- Name the price and stop talking.
- If they say it costs too much, ask what it's worth to fix this now. Don't cut your price. Add value instead, like an extra check-in call.
- Put two referral asks into your program: after their first real win, and at the end of week 12.
Example: Maya's call with Kara, a friend of Tom's
Wants: to play with her kids at the park without getting winded.
Why now: her sister's wedding is in the spring.
Stopped before: the gym was 25 minutes away and she never had time.
Plan: 'Over the next 12 weeks, I'll give you 30-minute home workouts and a check-in every Sunday so you can keep up with your kids before the wedding. It's $200 a month.' Then quiet.
If too much: add a second check-in call in week one. Price stays $200.
Referral asks: after her first full week done, and at week 12. Reward: a free month for Kara, a free first week for her friend.
